Travel expense report

We appreciate your interest in the professorship and thank you for your willingness to come to the University of Mannheim for an appointment lecture. To make your trip as easy as possible, you will find all the important information on travel expense reimbursement below. Reimbursement is based on the Baden-Württemberg State Travel Expense Act (LRKG BW), which is binding for the University of Mannheim.

  • Date of reimbursement

    Reimbursement will be made after the presentation and stay.

    Please note:

    • The travel expense report must be submitted within six months.
    • The period begins on the day after the end of the stay at the University of Mannheim.
    • No reimbursement will be 
  • Required documents

    Scanned receipts for the trip, proof of payment for the tickets, etc. (credit card statement or bank statement), bank details for the refund.

  • Reimbursable costs

    Accommodation and travel expenses

    a) We will clarify with you in advance whether hotel accommodation is required. In this case, the booking will be made directly by the Faculty of Social Sciences. If accommodation is required, we will cover the costs in advance.

    b) The University of Mannheim is bound by the provisions of the Baden-Württemberg State Travel Expenses Act (LRKG BW) when reimbursing travel expenses. We would like to present these provisions to you in a transparent manner so that there are no queries or reductions afterwards. Please note the following points in particular:

    • Train travel is generally reimbursed in 2nd class.
    • Please refrain from travelling by air if possible. We kindly ask you to use the train or other land-based means of transport for your arrival and departure. Flight costs will only be reimbursed for economy class. Flights within Germany and to neighbouring countries are only reimbursable in justified exceptional cases (e.g. in the case of urgent, immediately time-bound official obligations before or after the trip).
    • Per diems are not granted; unfortunately, additional meal expenses cannot be reimbursed.
    • Seat reservations (train/flight) and airport transfer costs are not reimbursable.
    • Costs for private fellow travellers cannot be covered.
  • Illness / Trip interruption

    In the unlikely event of changes or short-term impediments, please contact us as early as possible so that we can work together to find a suitable solution.
